Privacy policy

Who we are

• RAVE SYNERGY is an underground techno event collective and label based in Athens, Greece. We decide how your data is used on this site, so we are responsible for it (the "data controller" under the EU's GDPR).
• For anything about your data, email info@ravesynergy.com or message @rave.synergy on Instagram. We answer within one month, usually much sooner.

What we collect and why

We only collect what we need to run the site, the nights and the rewards. For each kind of data, here's why, and the legal reason that allows it.

• Your account: username, email address, your password (stored scrambled, so nobody can read it, not even us) and when you joined. Needed to give you an account. Legal reason: our agreement with you (your membership).
• Points and activity: points you earn and spend, door check-ins (which night, what time, and which staff member scanned you), streaks, badges, points claims, game scores, and label listens and downloads. This is how the rewards work. Legal reason: our agreement with you.
• Shop codes: which rewards you redeemed, for which night, and when they were used. Legal reason: our agreement with you.
• Door entry and guest list: your door code is checked when you're scanned in. Guest lists hold the names of guests, how many they bring, a short note, and when they arrived. Legal reason: our legitimate interest in running a safe, orderly door.
• Safety and incidents: if something happens at a night (for example harassment, violence or someone feeling unwell), our team records what happened, when, who was involved and what was done. An incident can be linked to a member's account, so the door checks it before letting them in again. Bans are recorded with a reason. Where someone was unwell, we only note what's needed to look after them. Legal reason: our legitimate interest in keeping everyone safe and enforcing our house rules, and protecting people's vital interests. Where the law requires it, we pass information to the police.
• Feedback after a night: your ratings and comments, if you choose to answer. You can stay anonymous: then your answers aren't linked to your account. A safety concern you write is read by our team so we can act on it. Legal reason: your consent (answering is optional).
• Invites: who invited whom, so both of you get your bonus points. Legal reason: our agreement with you.
• Emails we send: confirming your email, password resets and security notices, reminders about your streak, news about nights, the members' draw, and the feedback survey. You can turn off news and reminders with the link in every email or on your account page. Legal reason: our agreement with you, and our legitimate interest for news (you can always say no).
• Contact and DJ booking forms: these open your own email app, so we only get what you send us by email. We use it to answer you.
• Photos and videos: we photograph and film our nights and share some of it in the gallery and on our socials. If you don't want to be in photos, tell our photographer on the night. If you find yourself in one you want removed, email info@ravesynergy.com and we take it down. Legal reason: our legitimate interest in showing our nights; you can always object.

Site statistics

• We count page views and how many people visit each day, without cookies. To count each visitor once a day, we use a code made from your connection and browser that changes every day and is deleted the next day. After that, only the daily totals remain. Search engines and bots aren't counted.
• For members, we note when you were last on the site, so our team can see who's active.
• Legal reason: our legitimate interest in understanding how the site is used. None of this is used for advertising.

Cookies and similar

• Necessary (always on): keeping you logged in, "stay logged in" for 7 days, protection against fake requests, remembering an invite link you opened, your language (English or Greek) and your cookie choice. The site can't work without these.
• Optional: our fonts from Google Fonts, only if you allow it. This shares your IP address with Google (in the USA). Without it, your device's own fonts are used.
• On your device: if you add the site to your home screen, a copy of the "no signal" page is saved on your phone so it can show when you're offline.
• You can change your cookie choice any time with the cookie button at the bottom of the page.

How long we keep it

• Your account and activity: until you delete your account. Deleting it removes your account, points, history, codes, badges and invites. We keep only a short record (your username, a masked email address, your total points and nights, and the dates), so the rewards can't be abused by deleting and re-joining.
• Incidents and bans: as long as needed for safety and to deal with any legal claims, normally no longer than 5 years.
• Guest lists: no longer than 1 year after the night.
• Feedback: kept to compare our nights. Anonymous answers can't be traced back to you.
• Daily visitor codes: deleted after one day. Daily totals are kept.
• Backups: a full copy of the database is made every day, kept for 30 days in a folder that can't be opened from the web, then deleted.
• Emails: a record of emails we sent you (the address, subject and when) is kept to check they arrived.

Who else sees it

• We never sell your data and we never share it with advertisers.
• Our hosting provider stores the website and its database, and our email provider delivers our emails. They only process data for us.
• Our team: admins can see member accounts. Door staff only see what's needed at the door (names, points, and incidents when the door has to review them). People with "Dev info" access only see totals and budgets.
• The police or authorities, only when the law requires it or to protect someone's safety.
• Embedded videos (YouTube or Vimeo) in the gallery only load from those services when you press play.

Your rights

• See and download your data: use "Download my data" on your account page, any time.
• Correct it: change your password on your account page; email info@ravesynergy.com to change anything else.
• Delete it: use "Delete my account" on your account page.
• Object or limit: turn off news and reminders, keep feedback anonymous, ask us not to use your photos, or email us to object to anything else.
• Withdraw consent: change your cookie choice any time, or stop answering feedback.
• Complain: if you think we've handled your data wrongly, tell us first at info@ravesynergy.com. You can also complain to the Hellenic Data Protection Authority at dpa.gr.

Keeping it safe

• Passwords are stored scrambled. Staff logins lock after too many wrong tries.
• The admin area is limited to our team, and its most powerful tools need a second code sent by email.
• Backups are kept where they can't be opened from the web, and downloading one needs the same second code.

18+ only

• Our nights and this site are for adults aged 18 and over. We don't knowingly collect data about anyone younger. If you think someone under 18 has an account, tell us and we'll delete it.

Changes to this policy

• If we change how we use your data, we update this page and the date at the top. For important changes, we tell members by email.
